The Delegation Meeting: Eight Steps A structured delegation meeting ensures nothing is left out and gives the employee a thorough understanding of what is being asked of them. Review these eight steps before every delegation meeting. Step 1: Clearly Communicate the Task Explain exactly what needs to be done, by when, and to what standard. Address: What specifically must be completed? What are the consequences if it's not done on time? How does it fit into the broader project? Step 2: Provide Context and Relevance Explain *why* the task matters. Focus on the results to be achieved, not the method. Outline any potential complications. Step 3: Confirm Understanding Don't just ask "Do you understand?" Instead, ask the employee to explain back what they understand about the assignment and invite questions. Step 4: Communicate Performance Standards Make sure the employee knows what success looks like. There are three generic levels: **Outstanding:** Completes early and exceeds expectations **Acceptable:** Completes on time and meets expectations **Minimal:** Completes, but may be late or below expectations Decide ahead of time how you will measure performance (observations, reports, surveys, etc.). Step 5: Ensure the Employee Has Sufficient Authority Without the right authority, the task cannot be done well.
